Hello all here is the feedback/information I received from people in library land about the When I Work app/software. Thank you all for the information.

I use WIW here to schedule the library staff and custodians. I would be happy to answer any questions that you might have.

We use When I Work at Brandon Township Library. I would have to ask my coworker if you're curious about price but I can tell you as a manager who schedules for 6-7 people every month, that I love it!

We do. It's new to me but I can try to answer any questions that you have.

We did the Standard plan at $4 per person per month and for us, it is very worth it. We have right around 30 employees and before WhenIWork, we were also doing paper schedules and anytime it would change, we would have to reprint the schedule.
It was a really great change that our staff embraced. We also replaced our old-fashioned time clock with an iPad that sits by our staff entrance, so staff can clock in and out easily. Our staff really liked switching to an app so they could always check their
schedule on their own device from home, too. Plus, WhenIWork allowed them to swap shifts or pick up open shifts very easily, which they liked. I'm not sure if we printed off a daily schedule with WhenIWork.

We have used WhenIWork in the past. We really liked the scheduling and timesheet features, and that it integrated with ADP for payroll. The negative was that there was no way to manage time off requests or PTO balances. We switched about
6 months ago to HomeBase, because it had those features...and we really hate it. We much prefer WhenIWork from the admin side.

We're considering switching back to WhenIWork because the scheduling and timesheets were just so easy, but we would have to give up the time off/PTO stuff. We're currently looking for another alternative that would do all the things, but
better than HomeBase.

We have been using When I Work for about 5 years. I did the research and choose this program based on the simplicity of use and the ability to set up "locations" within our building
to allow for the supervisors (Youth, Circulation, and Information Services) to break out schedules for their areas. We have the supervisors designated as "managers" which allows them full access to editing. A default view shows all the schedules in day, week,
or monthly views. We do not use the payroll function or "time card" to keep things simple.

We like the program. Difficulties at the beginning were getting some of our old-timers up to speed and keeping the schedule acuate. Once everyone was fully comfortable with the
program, it worked out to be a valuable tool accessible from anywhere there is internet access, or with the phone app.

They have a support mechanism named "The Zen Desk" which we have used through chat. Very short response times and super helpful.

Feel free to ask additional questions.

Hope this is helpful.

I use it and I love it. The scheduling portion is a breeze. You can create shifts, and save them to reuse. You can color code things. There is messaging my staff and I love. There is a time clock feature.

I would be happy to try and answer any specific questions you have.

We use it at Brandon Library. Do you have specific questions? Overall we love it! There are a couple of workarounds we currently do, but it's way easier than our previous excel sheet timesheets.

Thanks again everyone!
